TELUS | Our Privacy Commitment to Job Applicants

Introduction and scope

As a leader in privacy and data protection, TELUS is deeply committed to handling personal information in a responsible and transparent manner. 

The TELUS Job Applicant Privacy Commitment (“the Commitment”) describes the privacy practices of TELUS Corporation and its subsidiaries, including TELUS Health Inc. and TELUS Agriculture Solutions Inc., (“TELUS”, "we", "us") relating to the collection, use and disclosure of personal information about you as part of our recruitment and onboarding processes. TELUS Corporation and/or the TELUS entity that is recruiting or hiring are data controllers of this personal information under applicable privacy law and as such, are directly accountable for its processing. 

This Commitment does not apply to subsidiaries that have their own privacy commitment, notice or statement. 

From time to time, this Commitment may be supplemented with privacy notices aimed at providing you with additional privacy information. These supplemental notices form an integral part of the Commitment, and take precedence in case of conflict. 

1. What personal information we process and for what purposes

We process the following categories of personal information about you, including sensitive personal information, for the following purposes: 

  • Your contact and account information to communicate with you and administrate your account on our recruitment platform.

  • Information such as your work experience, education, language skills, current and/or desired salary and other terms relating to compensation and benefits packages, willingness to relocate, and other job preferences, to assess your qualifications and suitability for a position. We also process information related to any assessment in which you may participate as part of the screening process, manual or AI-generated notes or summary of notes taken by TELUS during the process (including interview transcripts) which may contain opinions about you and inferences, information from publicly available sources that we believe is relevant to your application (e.g. your LinkedIn profile) where permitted, as well as information relating to any previous applications and/or any previous employment history with TELUS, information from the references you provide to TELUS and information received from background checks (where applicable), and other information you provide to us, or that may be provided to us by third party recruiters, for the same purpose.

  • Your responses to voluntary surveys to evaluate and report on the demographic makeup of our job applicants and provide annual employment equity reports to relevant public authorities where required.

  • Details of how you heard about the position for which you are applying and other responses to voluntary surveys, to improve our job applicants’ experience.

  • Your eligibility to work in the country where the position is located and other personal information to ensure we are complying with our legal obligations.

  • Health information, if you choose to provide it, to accommodate special requests for reasonable adjustments for candidates with disabilities. 

We may also process your personal information to:

  • If you are unsuccessful in your application and with your consent, contact you again in the future if we think you may be suited for other employment opportunities with TELUS, or send you custom job alerts if you have configured them.

  • Facilitate your future applications with TELUS, by maintaining your account on our platform (you can delete your account at any time).

  • Onboard you into TELUS if you are successful in your job application.

  • Protect our systems against fraud and security threats. We may use video surveillance cameras at some locations to enhance security.

  • Manage a legal claim.

We may de-identify personal information in such a manner that it is no longer considered personal information under applicable laws, for a variety of reasons. For example, we may de-identify personal information prior to conducting analytics, research, or for planning purposes.

We collect the above categories of personal information primarily from you and from your interactions with us. We may also collect personal information from other sources, including from other employers, publicly available sources or other third parties such as recruitment agencies. 

2. What legal basis or authority do we rely on to process your personal information

We mainly process your personal information to determine your suitability for employment, in order to enter into an employment contract with you if you are selected.

We also process your personal information for the purposes of TELUS’ legitimate interests. Such legitimate interests include improving our job applicants’ experience, evaluating and reporting on the demographic makeup of our job applicants, and protecting our IT assets such as our recruitment platform. 

In some cases, we may have a legal obligation to process your personal information such as for health and safety, social security, or tax reporting purposes, verify your eligibility to work in the country where the position is located, or in response to a court order or to exercise, establish, or defend legal claims.

In others, we may collect and use your personal information based on your consent. This may be the case for processing activities that are purely voluntary, such as retaining and sharing your personal information with other TELUS affiliates if we think you may be suited for other employment opportunities with TELUS, or in jurisdictions where consent is required and valid in a recruitment and hiring context. In particular, in consent-based regimes such as Canada, we view your job application as consent to process personal information about you for the purposes identified in this Commitment.

3. How we share your personal information

There are a variety of circumstances in which we share personal information about job applicants in order to achieve the purposes identified above. 

  • We may share your information with other TELUS affiliates for the purposes identified in this Commitment, and in particular if we think you may be suited for other employment opportunities with TELUS. When we do, those TELUS affiliates are jointly accountable for the management of your personal information.

  • With your consent, we may share your information with other TELUS affiliates to get insights about your previous experience as a TELUS team member.

  • We may share your information with third parties who provide services to TELUS for the purposes identified in this Commitment, such as those who provide us with recruitment platforms; SaaS productivity and collaboration tools; recruitment agencies; compensation research and analysis advisors and legal advisors. 

We require these third party service providers to handle your personal information in accordance with our instructions and we take steps to verify that they provide a level of protection equivalent to TELUS’.

  • If we sell parts of our business, sell or securitize assets, or merge or amalgamate parts of our business with other entities, we may share information about job applicants in the normal course of such transactions as part of due diligence and/or on completion of the transaction.

  • When required by law or contract, or when TELUS determines in its sole discretion that it is desirable to do so to protect TELUS’ or a third party’s interest, we may share a job applicant's personal information with government, law enforcement agencies and other public institutions. 

We do not “sell” or “share” your personal information within the meaning of the California Consumer Privacy Act. Should we engage in such practices in the future, we will notify you and provide you with appropriate choices regarding the processing of your personal information.

4. Where we transfer your personal information

As a global company, we transfer your personal information to TELUS affiliates and third parties who process personal information outside of the jurisdiction in which you are located. 

We have implemented legal, technical and organizational safeguards required under applicable law to enable these cross-border transfers of your personal information. For example, we may rely on model contracts to enable such transfers, seek authorization from the relevant supervisory authorities, or obtain your consent.

In particular, for transfers outside of the European Economic Area and the United Kingdom, we rely upon the European Commission’s approved Standard Contractual Clauses (“EU Standard Contractual Clauses”), which can be accessed here. For transfers from the United Kingdom, we rely upon the International Data Transfer Addendum to the EU Standard Contractual Clauses, issued by the Information Commissioner and laid before Parliament in accordance with s.119A of the Data Protection Act 2018 on 2 February 2022, which can be accessed here. 

5. What rights do you have with regards to your personal information

Local laws may provide you with certain rights with regards to your personal information. For example, you may have the right to:

  • Request access to and obtain a copy of your personal information, including confirming whether we are processing your personal information;

  • Request correction of your personal information where it is inaccurate, incomplete or outdated. In some cases, we may provide self-service tools that enable you to update your personal information;

  • Request deletion of your personal information. 

  • Request restriction of our processing of your personal information;

  • Withdraw consent, which you may have provided for certain processing activities, at any time;

  • Object to the processing of your personal information by us;

  • Request data portability, i.e. obtain a copy of your personal information in a commonly used format to transmit it to another organization, or request that we do so on your behalf;

  • Request the review of decisions which are taken solely based on automated processing and that significantly affect you.

These rights may be limited, such as when fulfilling your request would reveal personal information about another person, or when you ask us to delete information which we are required by law to retain.

Only you, or someone legally authorized to act on your behalf, may make a request related to your personal information. To authorize an agent, provide written authorization signed by you and your designated agent and contact us as set forth in the “Contact Us” section below. You will not receive discriminatory treatment for exercising any rights conferred to you by applicable privacy laws. However, please note that when the information we process is necessary to process your job application, exercising your right to withdraw your consent, to deletion or to object might prevent us from processing your job application. 

To protect your privacy, we will take steps to reasonably verify your identity before fulfilling your request. These steps may involve asking you to provide information that allows us to reasonably verify you are the person about whom we collected personal information or an authorized representative. Examples of our verification process may include asking you to provide the email address we have associated with you and following the instructions we provide to you.

We will endeavor to provide a written response to your request or complaint within one month unless applicable law requires a shorter response time. If you have unresolved concerns, you have the right to complain to your privacy regulator. Relevant contact details are available here.

6. How long we retain your personal information

TELUS retains your personal information as long as necessary to fulfill the purposes for which it was collected, or as otherwise required or permitted by law (for example, employment standards and income tax legislation require an employer to maintain certain records for a specified period of time). In particular:

  • If your application is successful, your personal information gathered as part of the recruitment process will be transferred to your record of employment and retained as per TELUS’ retention period for such records.

  • If your application is not successful, your personal information will be retained for two years to administer your account on our recruitment platform, and, with your consent, contact you again if we think you may be suited for other employment opportunities with TELUS and/or send you custom job alerts if you have configured them. Such information may be retained for longer if required by law. You can delete your account at any time during that period.


In addition, TELUS may retain your personal information as per applicable statutory limitation periods if we believe it to be necessary, in our sole discretion, in relation to a potential or actual legal claim. 

7. How we protect your personal information

TELUS is committed to protecting the security of your personal information. We use a variety of security technologies and procedures to help protect your personal information from unauthorized access, use, or disclosure. For example, we store the personal information you provide on limited access computer servers that are located in controlled facilities, and we protect certain sensitive personal information through encryption in transfer and at rest.

9. Modifications to the Job Applicant Privacy Commitment

We will review this Commitment annually and update it thereafter as needed to reflect changes in laws, our data management practices, and in other circumstances. We will notify you when material changes to this Commitment are made to the extent we hold personal information about you which is subject to this Commitment.
